Job Descriptions

The Campus Outreach Coordinator will work closely with the Outreach Director to create, plan and execute events that engage ARTSIDEOUT staff, volunteers, and students, at all three University of Toronto (U of T) campuses, leading up to ARTSIDEOUT 2018. Traveling will be an integral aspect of the position to engage the broader U of T community.



  • Assist and support the Outreach Director with developing and delivering outreach and engagement strategies across all three U of T campuses, including: Scarborough, St. George, and Mississauga, before ARTSIDEOUT 2018 and on the day of the festival.
  • Organize and attend meetings with various university clubs, organizations, and departments to discuss opportunities for cross promotion, and collaboration;
  • Book and reserve spaces for events and programs;
  • Prepare a timely schedule of outreach events throughout the year to be featured in the ARTSIDEOUT newsletter;
  • Send requests for advertising to the Marketing Directors (Branding and Communications) to ensure outreach projects are promoted throughout the year;
  • Collect and forward interested participants’ information (submission or volunteering) to the Artistic Team and Volunteer Team;
  • Coordinate with the Volunteer Coordinator to ensure sufficient number of volunteers and executive members are present as representatives of ARTSIDEOUT;
  • Train outreach volunteers on the visions and activities of ARTSIDEOUT, to make sure the event is articulated when reached by potential visitors/participants;
  • Ensure the success of outreach projects by securing the proper materials for events;
  • Attend outreach events and initiatives to engage with students and create hype around the festival;
  • Prepare a critical timeline in the first months of the work contract, outlining tasks, events, and deadlines pertaining to the Campus Outreach Coordinator role;
  • Attend Executive Team meetings and provide timely reports/updates to the Executive Team regarding outreach activities
  • Deliver a detailed final report after the event, outlining quantitative and qualitative data pertaining to the process of working with the team, community partners, and volunteers



  • Strong time-management, communication, and organizational skills are highly important
  • Previous event planning/project management experience is considered an asset
  • Excellent interpersonal, written, and oral communication skills
  • Familiarity with social media applications (i.e. Facebook, Twitter, Snapchat, Instagram) is an asset
  • Able to meet critical deadlines; must be able to manage a number of different projects at the same time
  • Must be able to work independently, as well as work with others in a team-based setting
  • Demonstrated strong interest/eagerness to work with people from various walks of life, and learn about U of T’s rich and diverse arts and culture communities
  • Knowledge of UTSC, UTSG, and/or UTM considered an asset


Working Conditions

  • Work contract: February 2018 to end of October 2018
  • February to August will consist of monthly team meetings and socials; September will consist of weekly meetings up to the day of ARTSIDEOUT; Additional meetings with other departments and General Manager
  • Expected to attend executive workshops including, but not limited to: Financial Literacy, Intro to Google Accounts, Anti-Oppression Workshops
  • Expected to attend at least 3 Outreach events throughout the year
  • Work-from-home, on-site (UTSC), and around various locations around Scarborough with hours between 4-5 hours/week
  • Availability during summer months is highly important
  • Flexible availability during September to the day of the festival is mandatory
