Position: Finance Officer

Job Description

The Finance Officer will work closely with the General Manager in creating the financial documents of ARTSIDEOUT 2018, such as the budget and allocating funds to various projects. They are responsible for keeping records of cashflow and bookkeeping, and ensuring the executive team promptly reports financial activities. Finance experience and knowledge is required.



  • Planning and management of the ARTSIDEOUT finances, advising the General Manager in the strategic implementations regarding fund distribution;
  • Create and manage overall ARTSIDEOUT budget with the General Manager and ensure its financial viability;
  • Assist the General Manager to secure funds, sponsors, and grants;
  • Prepare a critical timeline in the first months of the work contract, outlining tasks, events, and deadlines pertaining to the Finance Officer role;
  • Provide timely reports and updates to the Executive Team regarding financial activities;
  • Ensure the financial needs of the Executive Team to carry out ARTSIDEOUT programming, working with all departments to establish budgets and reimbursements in a timely manner;
  • Authorize money transactions and keep record of cash flow; Bookkeeping will be a major responsibility;
  • Maintain close communication with all ARTSIDEOUT departments in gathering all financial materials upon receipt;
  • Prepare written evaluations, final reports and financial reconciliations of ARTSIDEOUT programming and activities;
  • Assist the General Manager in creating MOUs for funders when necessary;
  • Attend Executive Team meetings and provide updates to the team regarding finances;
  • Deliver a detailed final report, outlining quantitative and qualitative data pertaining to the process of the financials and final budget



  • Financial competency is a must
  • Independent and flexible schedule
  • Competency in Microsoft Excel is required
  • Experience working in bookkeeping and/or auditing, as well as grant writing are assets
  • Experience working with arts organizations is appreciated, though not required
  • Must be able to work independently, as well as work with others in a team-based setting
  • Demonstrated strong interest/eagerness to work with people from various walks of life, and learn about Scarborough’s rich and diverse arts and culture scene


Working Conditions

  • Work contract: February 2018 to end of October 2018
  • February to August will consist of monthly team meetings and socials; September will consist of weekly meetings up to the day of ARTSIDEOUT; Additional meetings with other departments and General Manager
  • Expected to attend executive workshops including, but not limited to: Financial Literacy, Intro to Google Accounts, Anti-Oppression Workshops
  • Expected to attend at least 3 Outreach events throughout the year
  • Work-from-home with hours between 4-5 hours/week
  • Availability during summer months is highly important
  • Flexible availability during September to the day of the festival is mandatory
