Position: Logistics Coordinator

Job Description

The Logistics Coordinator responds to the technical needs of the Director of Studio, Performance, and Special Projects, and provides assistance or advice as such. The Logistics Coordinator will maintain positive communication with other offices and resources that provide technical support to ARTSIDEOUT 2018, and to search and create new related relationships (this includes the ACM faculty, Studio Labs and AEP). They will focus on the organization and scheduling of the incoming submissions from Studio, Performance, and Special Projects.

 

Responsibilities

  • Prepare a critical timeline in the first months of the work contract, outlining tasks, events, and deadlines pertaining to the Logistics Coordinator role;
  • Manage the flow of resources needed for ARTSIDEOUT programming, including construction, outsourcing of materials, storage and necessary permissions;
  • Working with the Studio, Performance, and Special Projects teams, assess the feasibility of submitted proposals in regards to budget, time, safety and university policy;
  • Create a detailed timeline for installation of all works and stages for the event;
  • Assisting the Executive Team with all related construction activities as necessary;
  • Attend relevant tri-campus arts events to seek out potential pieces that align with ARTSIDEOUT’s theme;
  • In coordination with the Studio, Performance, and Special Projects teams, communication with artists in the scheduling and locations of artwork to be situated for the ARTSIDEOUT festival;
  • Work with the submissions team (Directors and Coordinators of Studio, Special Projects, Logistics) in jurying submissions for acceptance into ARTSIDEOUT;
  • Coordinate with the Artistic team in determining the number of volunteers required for the successful activation of each submission;
  • Coordinate with the Studio, Performance, and Special Projects teams in maintaining the logistics budget, reporting expenses to the Financial Officer;
  • Attend Executive Team meetings and provide timely reports/updates to the Executive Team regarding Logistic initiatives and submissions;
  • Deliver a detailed final report outlining quantitative and qualitative data pertaining to your role in ARTSIDEOUT

 

Qualifications

  • Strong communication and organizational skills are required
  • Time-management abilities and an independent work ethic are important in the success of this role
  • Experience working with AV/sound and possessing its relevant knowledge and applications are essential
  • Experience in having a ASO volunteer position is as asset, but not required
  • Experience in event planning and/or organization is an asset, but not required
  • Must be able to work independently, as well as work with others in a team-based setting
  • Demonstrated strong interest/eagerness to work with people from various walks of life, and learn about Scarborough’s rich and diverse arts and culture scene

 

Working Conditions

  • Work contract: February 2018 to end of October 2018
  • February to August will consist of monthly team meetings and socials; September will consist of weekly meetings up to the day of ARTSIDEOUT; Additional meetings with other departments and Artistic Director
  • Expected to attend executive workshops including, but not limited to: Financial Literacy, Intro to Google Accounts, Anti-Oppression Workshops
  • Expected to attend at least 3 Outreach events throughout the year
  • Work-from-home with hours between 4-5 hours/week
  • Availability during summer months is highly important
  • Flexible availability during September to the day of the festival is mandatory
